How to Invite Someone to a Zoom Meeting During Scheduling

First, if you’re scheduling a new Zoom meeting, you can invite someone directly after you set it up. The invite screen will show up once you’ve scheduled the meeting, and you’ll be able to invite people via calendar events (including Google Calendar, Yahoo Calendar, and Outlook).

You’ll also be able to copy and paste the full invitation into an email, including how to join via phone, or just copy the link that someone will be able to click on.

How to Invite Someone to a Zoom Meeting in Progress

If someone needs to join a Zoom meeting while it’s already in progress, you can still invite them to it. Here’s how.

Step 1: Be in the Zoom Meeting

First things first, you’ll need to be in the Zoom meeting to invite someone to it (unless you have an invite link that you can forward along). Once you’re in the meeting, there are two different ways to invite someone.

Step 2: Click the Participants Button

While in the meeting, you’ll click the participant’s button at the bottom of your screen. This will bring up two options — ‘Invite…’ and ‘Copy Invite Link‘. From there, you can pick which one makes the most sense for you.

If you choose the invite option, you’ll be able to copy the full Zoom invitation (including how to join via phone) and email it to whomever you need.

If you choose this option, you can email right from Zoom by clicking the email providers they offer, or you can copy the invitation and email it via whichever email you’re logged into.

The second option is to directly copy the invite link. This may work best if you need to text the link to someone or include it in a messaging app like Slack. That way, all the person has to do is click the link to join the meeting (and it saves you time from not having to email them).

Step 4: Send the Information

Whichever way you choose to invite someone to a Zoom meeting, be sure to actually send the information! If you choose the email option, you’ll want to make sure the email is sent. And that’s all you need to do to invite someone!
